Refund Policy
This Refund Policy (“Policy”) governs refund procedures for all digital services, subscriptions, and related offerings provided through VetCareApp, owned and operated by Coderlook Solutions Private Limited(“Company,” “we,” “us,” or “our”), a company incorporated under the laws of India.
By purchasing or subscribing to our services, you acknowledge that you have read, understood, and agree to be bound by this Policy. This Policy is governed by and shall be construed in accordance with the laws of India.
1. Scope and Applicability
This Policy applies only to:
- VetCareApp software subscriptions
- Digital services and platform features
- Setup, onboarding, or training related to digital usage
Important:
This Policy does NOT apply to veterinary medical treatments, clinical services, prescriptions, diagnostics, or procedures performed by licensed veterinary professionals. Refunds for medical services must follow applicable veterinary regulations in India.
2. 30-Day Money-Back Guarantee
We offer a 30-day money-back guarantee on all new subscriptions. If you are not satisfied with VetCareApp within the first 30 calendar days of your initial subscription, you may request a full refund.
- Applies to new subscriptions only (first-time customers)
- Refund request must be submitted within 30 calendar days from the subscription start date
- Service usage must be within reasonable trial limits (less than 50 active patient records or 100 transactions)
- Refund will be processed to the original payment method within 10–15 business days
3. Refund Eligibility
Refunds may be issued under the following conditions:
3.1 Subscription Cancellation Within 30 Days
- Cancel within 30 calendar days from purchase
- Eligible for a full refund of the unused portion
- Service should not be extensively used beyond reasonable trial usage
- Request must be submitted within 30 days of purchase
3.2 Material Service Failure
- Technical failure or service malfunction that prevents proper use
- Unresolved within 14 business days of written notice
- Requests must be submitted within 60 days of first report
3.3 Duplicate or Unauthorized Charges
- Refund issued immediately upon verification
- Processing time: 3–5 business days
3.4 Annual Subscription Pro-Rated Refunds
- For annual subscriptions canceled after 30 days, pro-rated refunds may be available
- Calculated based on unused months remaining in the subscription period
- Subject to a 10% administrative fee for processing
- Not available for promotional or discounted annual plans
4. Non-Refundable Items
- Subscriptions active beyond 30 days (except in case of verified failure)
- Custom development or professional services once work has commenced
- Promotional or discounted subscriptions (unless required by law)
- Training, onboarding, and setup fees once delivered
- Veterinary medical treatments, procedures, diagnostics, or prescriptions
Note: Refunds cannot be issued based on treatment outcomes. Medical results are not guaranteed.
5. Refund Request Procedure
Submit a written email to vca@coderlook.com including:
- Account email or username
- Transaction ID or invoice
- Purchase date
- Reason for refund
- Supporting documents
Processing Timeline:
- Review: 5–7 business days
- Processing (if approved): 10–15 business days to original payment method
- Refunds appear in your account within 5–10 business days for credit cards
- Bank transfers may take up to 30 business days
Important: Once a refund is processed, your subscription will be immediately canceled and access will be terminated. Ensure you have exported all necessary data before requesting a refund.
6. Cancellation Policy
Cancel anytime via dashboard, email, or phone (+91 8910820023, Mon–Fri 10 AM to 7 PM IST)
- Must cancel 3 business days before next billing cycle
- Outstanding invoices must be settled
Fees:
- Standard/annual subscriptions: no cancellation fees
- Custom development: fees based on work completed
- Contracts with minimum terms may include early termination fees
Effect:
- Access remains until the billing period ends
- No future charges
- Data retained for 30 days, then permanently deleted
- Export your data before cancellation if you need to retain it
7. Partial Refunds
Partial refunds may be issued on a pro-rata basis based on:
- Time remaining
- Services used
- Non-refundable fees
- Work completed (for custom services)
8. Chargebacks and Disputes
- Contact us before filing chargebacks
- Unauthorized chargebacks may lead to account suspension
- Disputes shall be resolved in accordance with Section 10 (Governing Law & Jurisdiction)
9. Policy Modifications
- We may update this Policy anytime
- Changes posted with new effective date
- Continued use constitutes acceptance
10. Governing Law & Jurisdiction
This Policy shall be governed by and construed in accordance with the laws of India, without regard to its conflict of law principles. This Policy is designed to comply with the Consumer Protection Act, 2019and other applicable Indian laws.
Any disputes arising from or relating to this Policy shall be subject to the exclusive jurisdiction of the courts in Kolkata, West Bengal, India.
11. Compliance Statement
This Policy is designed to comply with applicable consumer protection laws in India, including but not limited to the Consumer Protection Act, 2019, the Indian Contract Act, 1872, and other relevant Indian legislation.
If any provision of this Policy conflicts with applicable Indian law, such provision shall be modified to the minimum extent necessary to comply with such law, and the remainder of this Policy shall remain in full force and effect.
Nothing in this Policy shall limit or waive any rights you may have under applicable Indian consumer protection laws that cannot be limited or waived by contract.
