Privacy Policy
How VetCareApp collects, uses, and protects information.
1. Who We Are and Scope
VetCareApp (“VetCareApp,” “the Service,” “we,” “us,” or “our”) is operated by Coderlook Solutions Private Limited (“Coderlook,” “the Company”).
This Policy explains what personal data we collect, why we collect it, how we use and share it, how long we keep it, and what rights you have. It covers the VetCareApp website and cloud software, offered primarily to customers in India. By creating an account or using the Service, you acknowledge this Policy. If you do not agree, do not use VetCareApp.
Who is responsible for what: We collect and use account information to operate VetCareApp. Businesses use the Service to store their own operational data (including pet and client details they choose to enter) — for example clinics, daycare, grooming, pet stores, and similar services. The business decides what data to collect from its clients and remains responsible for that relationship. We store and process business workspace data only to provide the Service, to support the business, and where the law requires.
We process personal data in accordance with applicable Indian law, including the Digital Personal Data Protection Act, 2023 (DPDP Act) and the rules made under it, as they apply to us from time to time. This Policy describes our practices; it is not a certification of full compliance with every DPDP obligation. If we expand internationally, we may publish additional notices for those regions.
2. Information We Collect
Website and Contact Us
Name, email, business name, inquiry type, and message when you use Contact Us or email/phone us; plus technical data such as browser, device, IP address, and cookie preferences (see our cookie policy). Used to respond to inquiries and run the site.
Account and business workspace data
To run VetCareApp, businesses store operational information in their own workspace. The business controls what is entered. We process that information only to host and provide the product (and as required by law), not to browse business records for unrelated purposes.
- Account setup: business profile, staff logins, roles, and seat limits
- Operations: scheduling, records, billing/POS, inventory, and related modules the business enables — including pet and client details the business chooses to save
- Subscription: plan, entitlement, and billing status needed to keep the account active
Payments
Subscription payments are processed by PhonePe and/or Razorpay. We receive payment status, amounts, and transaction references needed for billing and invoices. We do not store full card or UPI credentials.
Cookies and similar technologies
Used as described in our cookie policy.
3. How We Use Information
- Respond to Contact Us and other sales/support inquiries
- Provide, operate, secure, and improve VetCareApp and our website
- Create and manage business accounts, seats, and subscriptions
- Process payments, invoices, GST-related billing details, and support requests
- Send service notices (billing, security, product changes); marketing only where permitted
- Monitor reliability, prevent abuse, and comply with law
We do not sell personal information. We do not use business operational data for advertising to pet owners.
4. Sharing and Processors
We may share information with trusted processors who help us run the service, such as:
- Cloud hosting and infrastructure providers
- Payment partners (PhonePe, Razorpay)
- Email / transactional messaging providers
- Analytics providers (when enabled by cookie preferences)
Processors are engaged to provide services to us and are expected to protect data and use it only for instructed purposes. We may also disclose information if required by law or to protect rights, safety, or security.
5. Data Location and International Use
We operate primarily for customers in India. Data may be stored and processed on infrastructure in India and/or in other locations used by our hosting or service providers, subject to applicable law (including DPDP rules on cross-border processing, as they apply).
If you access VetCareApp from outside India, your information may be processed in India and any other processor locations we use. When we expand to other countries, we will update this Policy as needed.
6. Data Security and Retention
We use reasonable technical and organizational measures to protect data. No method of transmission or storage is 100% secure.
We retain account and business data while your subscription/trial is active and generally for up to 90 days after cancellation (unless a longer period is required by law, needed for disputes/billing, or you lawfully request earlier deletion). Billing records may be kept longer as required for tax and accounting.
7. Your Rights and Choices
Where Indian law (including the DPDP Act and Rules, as applicable) gives you rights over personal data we control, you may contact us to request access, correction, or erasure, or to raise a grievance. Where processing is based on consent, you may withdraw consent for future processing (withdrawal does not undo processing already done lawfully).
8. Children's Privacy
VetCareApp is a business product for veterinary practices and is not directed at children. We do not knowingly collect personal data directly from children for marketing accounts.
9. Third-Party Links
Our website may link to third-party sites (including payment checkouts). Their privacy practices are governed by their own policies.
10. Changes to This Privacy Policy
We may update this Policy as our product, processors, or legal requirements change. Updates will be posted here with a revised effective date.
